Command: daily-maintenance-triage
Triage and prioritize all open maintenance requests daily to assign work orders and dispatch or escalate appropriately.
Inputs
- Maintenance queue — all open, unreviewed requests (inbox default; filter by property if managing multiple)
- Tenant contact info — name, phone, unit number for each request
- Priority rules — emergency (safety/utilities), urgent (within 24h), standard (within 7d), preventive (schedule for next available slot)
Steps
- Pull all open maintenance requests from the queue.
- Review each request for urgency: emergency (safety/water/power/heat), urgent (appliance/structural), or standard (cosmetic/wear).
- For emergencies, immediately escalate to the on-call technician or manager with full details and tenant contact.
- Draft a work order for each non-emergency request with scope, estimated time, and assigned technician.
- Dispatch standard requests to the next available technician; schedule urgent requests within 24 hours.
- If a request requires manager approval (e.g., major repair, tenant dispute), send for review before dispatch.
- Log all decisions and dispatch details in your work-order system.
Constraints
- Emergency maintenance (gas leak, no heat, flooding) must escalate immediately to a human supervisor—never process autonomously.
- Draft any formal tenant notices (late fees, lease violations, eviction notice) for manager approval; never send without sign-off.
- Confirm technician availability and scheduling capacity before assigning work orders.
Done when: all open maintenance requests have been reviewed, triaged by urgency, assigned a work order, and dispatched or escalated with next steps clear.
