Give a new real estate lead a personalized first response, log their inquiry in the CRM (Customer Relationship Management), and initiate an automated nurture schedule.

Inputs

  • lead_name — recipient's full name
  • property_interest — type, address, or description of the property the lead inquired about
  • contact_channel — how they reached you (website form, phone, referral, ad); defaults to "web"
  • inquiry_date — when the lead first contacted you; defaults to today
  • response_template — whether to use a standard template or personalized message; defaults to personalized

Steps

  1. Compose a personalized response acknowledging their specific property interest and offering local market insight relevant to that area.
  2. Send the response via their preferred channel (email or phone) within 2 hours of their inquiry.
  3. Log a new lead record in the CRM with full contact details, property interest, inquiry source, and agent assignment.
  4. Attach the response message to the lead's CRM record for audit and context.
  5. Activate a nurture sequence with follow-ups scheduled at 3 days and 7 days to assess next steps (showing, pricing discussion, or pause).

Constraints

  • Do not provide specific property valuations, mortgage terms, or investment advice; offer specialist referrals instead.
  • Keep the first response brief (under 150 words) with clear next steps and a single call-to-action.
  • Verify the lead's contact information and property interest are correctly recorded in the CRM to prevent duplicate outreach.

Done when: the lead receives a personalized response within 2 hours, their CRM record is created with complete details, and the nurture schedule is live.
